Information and forms for students and supervising staff

On this page, you will find all the essential information and forms you need for the recruitment process – both for you and your supervisor.
Whether in research, teaching or study-related tasks, working as a student assistant gives you valuable insights and practical experience across different areas of the university.
Forms and documents for employment
To be employed as a student assistant, please prepare the following fully completed documents:
Please note: The documents below are only available in German. For selected documents, an English guide is available for download to assist you.
- Personal data form
- Tax declaration (ELStAM procedure) and English guide tax declaration (ELStAM procedure)
- Social security questionnaire and Englisch guide social security questionnaire
- Current certificate of study progress (Log in to the Franca portal with your CIT account. Navigate to ‘Reports’ and click on ‘Common Reports’ to download your current „Studienverlaufsbescheinigung“ (study progress certificate).)
- For contracts of less than 1 year or less than 10 hours/week: Application for deviation from the standard contract term and/or minimum weekly hours (See ‘Contract duration’ for further details)
- If you already hold a degree: Copy of your degree certificate
- If privately insured: Copy of health insurance certificate
- If applicable: Marriage certificate/ Birth certificate of child(ren)
Please complete all forms digitally and upload them to our HR Service Portal. Kindly note that some documents will also require your signature.

Your supervisor initiates the process through the HR Service Portal. At this stage, details of the planned employment, funding, and your contact email address (usually your student email) are recorded.
Log in with your CIT account and select the process ‘SHK Unterlagen hochladen’. Enter the reference number you received by email (format: HRSHKS-...), answer the questions and upload all required documents.
Note: Please submit the required documents at least one week before your start date, so that your employment contract can be prepared in time.

Once your documents are complete, you will receive your contract for signature.
The signed contract must be submitted to the Human Resources Department before the first working day.
You can send the contract by post in advance or hand it in personally.

In person:
Hand in the contract on the 9th floor of the City Gate (BCN) building or drop it in the letterbox opposite room 930.
Note: Use the lift on the north side of the building (near the entrance to Café Kostbar).
Agree with your supervisor when and how you will begin your work, including working hours, days, attendance and any other role-specific details.
Please use the timesheet provided to record your working hours and submit it at the end of each month to your contact person in the department.
Your contact person signs and manages your monthly time sheets.

Salary is paid on the last day of each month by the Hochschulbezügestelle Kassel (Kassel university payroll office).
Payslips are sent by post at the start of your employment and only when your pay rate changes.
If you fall ill on a working day, you will need a medical certificate of incapacity for work (eAU) from the first day of your absence. The eAU is transmitted electronically.
Please inform both your supervisor and the HR department immediately at abwesenheitsmeldung(at)hr.fra-uas.. de
Once you have received an eAU, notify your supervisor and HR of the exact start and end dates of your absence.
Student assistants are entitled to paid annual leave under the Federal Holiday Act (BUrlG). Your entitlement is stated in your contract.
Because SHK work on an hourly basis, holiday is calculated in hours. You can use the Excel file provided to calculate and track your holiday entitlement. Enter your contract data (duration, weekly hours) and the formula will calculate your holiday hours.
Holiday planning and approval takes place in your department. Please always coordinate with your supervisor.
- Social insurance includes health, pension, unemployment and long-term care insurance.
- Student assistants are generally exempt from health, unemployment and long-term care insurance.
- Pension insurance contributions are usually required, but you may apply for exemption (see page 2 of Form 3 – Social security questionnaire).
- Further information on the advantages and disadvantages of exemption from pension insurance can be found on the Minijob-Zentrale website.
If you have any further questions about social insurance, please contact your health insurance provider.
You may hold several mini-jobs at once if your total monthly income does not exceed €556. If it does, all jobs become subject to full social insurance contributions.
Please declare any additional employment in the Social Security Questionnaire (Form 3).
You must also state which job is your main employment – this determines your tax class:
- Main employment: tax class I–V
- Secondary employment: tax class VI (higher deductions)
As a rule, the job with the higher pay or working hours should be listed as your main employment.
If you only work at Frankfurt UAS, this automatically counts as your main job.
